Organization of email communications: Monthly schedule and bimonthly newsletter from the Repository

Simplification and differentiation of content

Previously, programming emails and newsletters were mixed together, which significantly lengthened communications and diluted their effectiveness. So I separated these two formats in order to:

1. Adapt the tone and visuals to the target audience :
   • Programming being more practical and promotional
   • The newsletter adopts a tone that is more focused on vision and achievements.
2. Reduce the length of emails to maximize their impact, taking into account that readers prefer short, visually appealing formats.

Monthly programming email

• Target : User and volunteers
• Objective : provide information on the upcoming activities
• Frequency Sent every last monday of the month, showing what is coming up
• Result : Clear communication that participants expect, facilitating their personal organization.

Bi-monthly newsletter

• Target Participants, volunteers, donors, media, and partners
• Objective : Share general news, successes, and strategic visions from the Repository.
• Frequency : Sent around the 15th day every two months
• Result A professional and inspiring showcase highlighting achievements and future projects.

Creation of an annual calendar

To ensure consistency and effective planning:

• I have developed an annual calendar outlining the themes and ideas for each newsletter.
• This calendar was approved in advance by senior management, which saved me time when drafting it while ensuring that it remained aligned with current priorities and events.

This approach has enabled us to professionalize our communications, strengthen our image among our various audiences, and improve their engagement through greater clarity and consistency.
